This position will be a 6 Month Contract.  Duties and Responsibilities:The responsibilities listed are not exhaustive, they represent examples of the work performed by this position.Provide personal administrative support and assistance to the Executive Directors and Senior team members and provide backup support to the Chief Executive Officer when needed  Coordinate executive communications, including responding to emails, taking incoming calls for the company and interfacing with clientsManage and maintain Executives and Senior team members schedules and appointmentsPrepare and edit correspondence, communications, presentations, and other documents as requiredMaintain an organised filing system of paper and electronic documentsConduct research, collect and analyse data to prepare reports and documentsArrange and co-ordinate meetings and corporate events (both internal and external)Involvement in meetings and taking of minutes as requiredCo-ordinate project-based work as requiredOrder and stock stationery & snack cupboards as requiredGreet visitors on site, sign them in and direct them as appropriateBook international and domestic travel in line with Gilmour Space Travel Policy for the Executive Directors and Senior Team membersOther duties as requested by ManagementProvide support across multiple sitesMinimum Qualifications:Minimum 5 years’ experience as an Executive Assistant reporting directly to senior managementNV1 Security Clearance eligible preferredDesired Qualifications, Skills, and Experience:Excellent verbal and written communicationHigh level of professional discretionAbility to take accountability for tasksExceptional teamwork, leadership and interpersonal skillsIntermediate to advanced skills in Microsoft office with an ability to adapt readily to company specific programs and softwareStrong organisation, project management and problem-solving skills with impeccable multi-tasking abilitiesWell-developed communication and conflict resolution skillsProven Ability to prioritize, manage and take accountability for work demands and deliver outcomesSelf-motivated, results oriented with a high level of attention to detailMust be able to relate readily to all people within the organisationLicensesCurrent Australian Driver’s LicenseSpecial Circumstances:Successful performance requires the incumbent to be available to work varied hours as dictated by business peaks and troughs (including weekends and public holidays on occasion). An exciting role has opened for an Executive Assistant to provide effective administration assistance and accurate and timely support to the Executive Directors and Senior Team members of Gilmour Space. The Executive Assistant must always demonstrate the ability to use professional discretion in dealing with confidential matters. Duties and Responsibilities:

  • Manage and maintain Executives and Senior team members schedules and appointments
  • Prepare and edit correspondence, communications, presentations, and other documents as required
  • Maintain an organised filing system of paper and electronic documents
  • Conduct research, collect and analyse data to prepare reports and documents
  • Arrange and co-ordinate meetings and corporate events (both internal and external)
  • Involvement in meetings and taking of minutes as required
  • Co-ordinate project-based work as required
  • Order and stock stationery & snack cupboards as required
  • Greet visitors on site, sign them in and direct them as appropriate
  • Book international and domestic travel in line with Gilmour Space Travel Policy for the Executive Directors and Senior Team members
  • Other duties as requested by Management
  • Provide support across multiple sites

Minimum Qualifications:

  • Minimum 5 years’ experience as an Executive Assistant reporting directly to senior management
  • NV1 Security Clearance eligible preferred

Licenses

  • Current Australian Driver’s License

Special Circumstances:
