The Opportunity
This is a maximum term 12-month contract, created in response to a formal review identifying a growing administrative need across our Whole Person Impairment (WPI) and Legal teams.
In this role, you'll provide dedicated day-to-day administrative support that helps both teams run smoothly - freeing up our specialists to focus on the technical and legally sensitive aspects of their work. Your responsibilities will span four key areas:
- Spreadsheet and data management: maintaining and updating team tracking spreadsheets, registers, and workflow tools, and ensuring data accuracy across all records. You'll also identify and escalate any gaps or discrepancies to the relevant manager.
- Calendar and scheduling coordination: managing team calendars and coordinating booking dates across both the WPI and Legal teams, including Independent Medical Examinations (IME) and Employment Capacity Assessments (ECA). You'll keep all parties informed and act quickly on any scheduling conflicts or changes.
- Correspondence and documentation: drafting, formatting, and distributing IME and ECA letters and letters of instruction to legal providers and assessors, in line with established templates and relevant timeframes.
- Follow-up and action tracking: proactively following up outstanding reports and correspondence with legal providers, assessors, and treating practitioners, and maintaining a clear record of all follow-up activity.
Across it all, you'll provide reliable general administrative support - managing emails, filing, and liaising with internal and external stakeholders in a professional and timely manner. You'll also have the opportunity to contribute to continuous improvement of administrative processes and workflows.
Your Story
This role will suit someone with demonstrated experience in an administrative support role, ideally within a legal, insurance, or health-related environment.
You'll have strong written communication skills and high attention to detail, with confidence using the Microsoft Office suite - particularly Excel for spreadsheet management, Outlook for calendar and email, and Word for document drafting.
You're someone who can manage competing priorities, meet deadlines, and knows when to act and when to escalate. You're comfortable following established processes and templates, can work both independently and as part of a multi-functional team, and take pride in the behind-the-scenes work that keeps things running well.
Familiarity with workers' compensation, personal injury, or insurance claims frameworks would be advantageous, as would experience with document management platforms such as Figtree.
